Google Business Profile Setup for HVAC Contractors
The quickest way to get a Google Business Profile suspended is to set it up the way a lot of contractors do: "Best AC Repair Springfield 24/7" as the business name, a home address showing on the map, and a description stuffed with a coupon code.
Every one of those breaks a written Google rule. This guide walks through setup in order, with the rule that applies at each step and a link to where Google says it. Expect to spend an hour, plus waiting time for verification.
Before you start: gather this
Have these ready so you don't stop halfway:
- Your legal or registered business name, exactly as it appears on your trucks and invoices
- The main phone number customers should call
- Your website address, if you have one
- The list of towns or ZIP codes you serve
- Your regular hours and holiday plans
- 5 to 10 real photos: team, trucks, finished installs, your logo
Step 1: Use your real business name
Google's guidelines say your name should reflect your real-world name "as it appears on your storefront, website, and stationery" and that "including unnecessary information in your business name isn't permitted" (Google Business Profile Help). That rules out taglines, service descriptions, phone numbers and city names that aren't part of your actual name.
If your company is legally "Smith Comfort Systems," the profile is "Smith Comfort Systems," not "Smith Comfort Systems – Furnace & AC Repair Near Me."
Step 2: Pick the primary category carefully
Google asks you to "select the category that best matches what your business does," and you can add up to 9 more categories (Google Business Profile Help). Google also says not to use categories "solely as keywords."
For most residential shops, the primary category is the one closest to heating and air conditioning contractor work. Add secondary categories only for services you really offer and want calls for. If you don't install furnaces, don't add a furnace category.
Step 3: Decide what to do with your address
This is where most HVAC companies get it wrong.
- You don't serve customers at your address (you work from home or a shop customers never visit): remove the address and set a service area instead. Google gives the example of a plumber working from home who should remove the address (Google Business Profile Help).
- You have a showroom or office that customers visit during posted hours: you can show the address and also list a service area, as a hybrid business (Google Business Profile Help).
Don't list a virtual office. Google says a virtual office can't be listed unless it's staffed during business hours.
Step 4: Set your service area
You can add up to 20 service areas by city, postal code or other area. Google says the area should generally stay within "about 2 hours of driving time" from where your business is based, and service areas can't be drawn as a radius (Google Business Profile Help).
Use the same towns you list on your website. If they don't match, customers notice. Our guide to service area pages covers how to handle those towns on your own site.
Step 5: Verify
Google decides how you'll verify: "Verification methods are automatically determined by Google and can't be changed" (Google Business Profile Help). Possible methods include phone or text, email, a live video call or a postcard.
If you're offered video verification, read Google's instructions for it first and plan what you'll show before you start. For a service business that usually means things only the real operator has, such as a branded truck, your tools and your business paperwork.
Step 6: Write the description
Google's limits: "Do not exceed 750 characters" and "Do not include URLs or HTML code" (Google Business Profile Help). The representation guidelines add that special promotions, prices and sales aren't allowed in the description.
A useful structure:
- What you do and for whom (residential, light commercial)
- What equipment you work on
- Where you work
- What makes you different, in facts: years in business, family-owned, maintenance plan, emergency availability
Skip "best," "#1" and "cheapest." They don't help and you'd have to prove them. The Google Business Profile description generator drafts a version from your details and counts the characters for you.
Step 7: Hours, including special hours
Google asks you to "provide your regular customer-facing hours of operation" and lets you set special hours for holidays (Google Business Profile Help). If you take emergency calls overnight but the office closes at 5, think about which one customers should see, and explain the emergency policy on your website.
Need wording? The holiday hours message generator gives you matching text for Google, your site and your voicemail.
Step 8: Add photos that pass Google's rules
Google accepts JPG or PNG between 10 KB and 5 MB, recommends 720 by 720 pixels, and says photos should be "in focus and well lit" without heavy filters (Google Business Profile Help). Phone photos work fine. Our guide to HVAC website photos has a shot list you can reuse here.
Step 9: Add your website and phone
The website field needs the full URL including "https://", and Google says to make sure Googlebot isn't blocked on your site (Google Business Profile Help). You can add up to 2 more phone numbers, mobile or landline but not fax.
Point the website field to your home page, or to the page for the specific location if you have more than one.
Step 10: Set up a review routine
Your profile has a share option that gives you a review link and a QR code. Google suggests sharing it on receipts and in thank-you emails (Google Business Profile Help). Ask every customer the same way, and never offer a discount or gift in exchange. Our article on review links and QR codes covers where to put them and what the rules allow.
After setup: a monthly ten-minute check
- Search your company name on a phone. Is everything correct?
- Check for suggested edits from Google or the public and approve or reject them.
- Reply to new reviews.
- Update special hours before the next holiday.
- Add one or two new photos from recent jobs.
Google lists keeping info complete and up to date, responding to reviews and adding photos among the things that help your local presence (Google Business Profile Help). It also says no one can pay for a better local ranking, so ignore anyone selling that.
A profile works best with a website behind it. If you don't have one yet, DIPAZE Websites can show you a free preview built from the same details you just entered on Google.

Should an HVAC company show its address on Google?
Only if customers come to that address during your hours. Google asks service-area businesses that don't serve customers at their address to remove it and list a service area instead. Hybrid businesses that do both can show both.
How long can the Google Business Profile description be?
Up to 750 characters, with no URLs or HTML. Promotions, prices and sales aren't allowed in the description either.
Can I add 'AC Repair' and my city to my business name on Google?
Not unless it is part of your real-world business name as it appears on your signage, trucks and paperwork. Google's guidelines say adding unnecessary information to the name isn't permitted and can lead to suspension.
How many service areas can I add?
Up to 20, by city, postal code or other area. Google says the overall area generally shouldn't extend farther than about 2 hours of driving time from your base.
Can I choose how Google verifies my profile?
No. Google says verification methods are automatically determined and can't be changed. Options can include phone or text, email, a live video call or a postcard.
